The meeting planning group plans programs and events for our North American Distribution business groups and advisors, meeting internal and external associates’ objectives while also ensuring the safety and security of meeting attendees. They maintain relationships with Legal, Purchasing and Accounting associates, as well as meeting industry associations, vendors, hotels and other professionals, allowing them to confidently manage meetings of varying scale and complexity.  Our Senior Business Administration Associate is a dynamic role that supports and executes meetings and events for this group. The role is approximately 75% administrative and 25% event planning, collaborating with the meeting planning team. 

 

Primary responsibilities/essential functions:

  • Develops, plans, and executes a variety of meetings and events (e.g. internal events, corporate events and meetings with Company management). 
    • Researches and/or visits facilities prior to use.
    • Negotiates property rates and meal pricing with vendors to keep all events within the budget.
    • Ensures legal approval of contract and execution
    • Maintains and updates a shared list of vendors.
    • Arranges transportation, meals and hotel accommodations for each event.
    • Monitors budget expenses, all vendor invoices and escalates exceptions to senior manager for approval
  • Sets-up and breaks down event, checks-in and greets attendees and anticipates any issues that may occur and strategizes solutions to those issues.
  • Addresses unforeseen issues, assesses options and appropriately makes decisions independently on time-sensitive situations.  Communicates and updates others as appropriate.
  • Manages vendors’ service by assuring service-level agreements are met.
  • Supports invitations, approvals, and response processes for events
  • Partners with Meeting Planning Coordinators on annual invitation and approvals process to meet attendee Compliance requirements. Assists in communication with broker/dealer firms on approval process for invitees to attend meetings.
  • Produces and collects meeting materials
  • Maintains internal and vendor contact lists, distribution lists and directories.
  • Compiles, analyzes and summarizes survey results for client meetings. Distributes written summary to senior leadership.
  • Processes continuing education credits via the Certified Financial Planner website for qualifying advisers.
  • Coordinates team meetings: Requests topics, creates agenda and compiles meeting minutes.
  • Develops and documents business and workflow processes that allow for greater efficiencies. May analyze and provide suggestions for enhancing internal processes.
  • Performs additional responsibilities as assigned.

 

Skills/qualifications:

  • 3-5 years of experience in corporate meeting planning, event coordination, event management or project coordination.
  • Demonstrates strong attention to detail.
  • Demonstrates effective written and oral communication skills with a diverse group of associates internally as well as outside the organization.
  • Demonstrates the ability to prioritize assigned work and complete in a timely manner.
  • Demonstrates ability to collaborate and work effectively as part of a team.
  • Demonstrates sound judgment in resolving routine matters and remains calm under pressure.
  • Takes initiative by identifying issues for managers/others and proactively thinks of solutions.
  • Financial services experience strongly preferred.
